Use this page when you want to know what data Lyt-ning holds, who can see it, and how long it is kept.
Goal
You need to understand what data Lyt-ning holds about your store, your staff, and your customers — and the privacy boundary between roles, stores, and integrations.
Where this happens
Lyt-ning is a customer-data platform. Till transactions are recorded, and back-office activity is recorded. Permissions are role-based. The privacy boundary is enforced at the app layer, not on a per-user basis.
- In the back office (Core App): back-office activity is recorded — ask Support for details on what is available for your franchise.
- At the till: the till records each sale locally first, then uploads to the Core App. Till screens can vary by app version — ask your supervisor if yours looks different.
- In Lytning Analytics: opens from the Core App with single-sign-on and respects the same role boundaries.

Steps — what data is stored
1. Sales transactions
Every sale line, payment type, cashier, till, time, and amount — kept in the back office. How long it is kept depends on your subscription and the local tax rules for your country — ask Support for the retention period that applies to your store.
2. Customer records
Name, address, phone, email, customer type, balance — kept in the Core App.
3. Employee records
Name, PIN (hashed), role, permissions, store assignments — kept in the Core App. PINs are stored securely as one-way hashes (verified in the BackOffice API) — no one can read them in plain text, including the franchise admin.
4. Activity log
Back-office activity is recorded. Ask Support for details on what is recorded for your franchise and how to request a review — the exact setup can vary by franchise.
5. Fiscal receipts
Smart Invoice submissions are stored on the sale record (in the Core App) and on the ZRA Smart Invoice system. How long the Lyt-ning copy is kept depends on your subscription and local tax rules — ask Support for the retention period.
6. Support tickets
Tickets you raise from the till or back office are stored alongside your franchise. Support staff can read them to help you.
Steps — who can see what
1. Cashier
Their own till shifts and sales. Cannot read other cashiers' personal information.
2. Supervisor
Their store's sales, customer records (basic fields), employee roster (without PINs). Cannot edit other stores.
3. Franchise admin
All stores in the franchise. Cannot see other franchises' data.
4. Integrations
SAGE / SAP / Kazang receive only the data your integration config allows (totals, not personal information, by default). Configure per integration under Integrations.
5. Support staff
Read-only access to troubleshoot issues. Cannot edit business data without explicit per-incident grant.
Steps — how long data is kept
How long Lyt-ning keeps each kind of record depends on your subscription and the local tax rules for your country. The exact retention windows are configured at the franchise level — for the period that applies to your store and your country, ask Support.

- You understand the data Lyt-ning holds.
- You understand the privacy boundary between roles, stores, and integrations.
Edge cases
- Your role is missing data you expect to see — ask your franchise admin to grant permissions under Finance & Admin → HR Management → Employee Security.
- You need a full data export (right-to-data) — submit a support ticket and Support will guide you through the export request.
- A former employee's record is still on file — submit a support ticket if you need an earlier deletion; the retention window depends on your franchise's subscription.
- You suspect someone is reading data they shouldn't — submit a support ticket; Support can review recorded activity with your franchise admin.
