Low Stock Alert Report (Lytning Analytics)
Use this page when you need the list of stock items that have dropped below their re-order level (or minimum level), so you can decide what to order before you run out.
Goal

Lytning Analytics demo store — screens may differ slightly by version.
You need the list of items that are below the re-order level (or minimum level), so you can raise purchase orders, transfer stock from another store, or hold off on promotions until the item is back in stock.
Where this happens
- In the Core App: open Reports & Analytics → Low Stock Alert (top-level sidebar group; the Core App also shows a Below Min tile on the dashboard).
- Direct URL:
https://analytics.pos.co.zm/reorder-stock(opens the same report in a new tab; single-sign-on signs you in).
Prerequisites
- You are signed in to the Core App as supervisor or franchise admin.
- Your role has Reports permissions.
- Pop-ups are allowed for the Core App URL.
- Items have re-order (or minimum) levels recorded — items without a level never appear in the report.
Steps
1. Open Low Stock Alert from the Core App
- In the Core App sidebar, open Reports & Analytics.
- Click Low Stock Alert (or click the Below Min tile on the dashboard).
- A new browser tab opens at Lytning Analytics, signed in. The page title is Re-Order Stock.
2. Pick the tab
The page has two tabs:
- Quantity To Order — default. Lists items at or below the minimum level.
- Negative Stock — lists items with a negative quantity.
Click a tab to reload the table. The table card's own header changes with the tab: it reads Quantity To Order on the first tab and Below Zero Stock on the second.
3. Read the summary cards
Below the tabs the page shows three summary cards. They only appear once the table has loaded at least one row:
- Total Items — count of rows in the current tab.
- Items Below Minimum — count of items whose quantity is below the minimum level. The card background turns yellow when the count is non-zero. On the Negative Stock tab every loaded row counts as below minimum, so this matches Total Items.
- Negative Stock Count — count of items with negative quantity. The card background turns red when the count is non-zero.
4. Search and read the table
- Type in Search items by code or description... to narrow the table by Stock Code or Description.
- Read the desktop columns: Stock Code, Description, Min Quantity, Ideal Quantity, Current Quantity, Quantity Needed, ExclCost, Weeks of Stock. Each row also has a QR Code action button.
- On mobile the table narrows to Description, Current Quantity, Quantity Needed.
- Row colours: red for negative stock, yellow for below minimum, blue for order needed.
5. Drill into one item
- Click a row.
- The Order Details modal opens with eight fields: Stock Code, Description, Min Quantity, Ideal Quantity, Current Quantity, Quantity Needed, ExclCost, Weeks of Stock.
- Close with the Close button.
6. Export or print
In the card header, click Export to Excel to download the current table, or Print to open the report PDF in a new tab. Both buttons are disabled while the table is empty.
Expected result
- The tabs show Quantity To Order or Negative Stock items based on selection.
- The summary cards reflect the loaded tab's totals.
- The search input narrows the table by code or description.
- A row click opens the Order Details modal with the item's details.
- Export to Excel downloads an Excel file with the columns above; Print opens the period PDF in a new tab.
Edge cases
- The new tab does not open. Allow pop-ups for the Core App URL and try again.
- You land on the Analytics sign-in page. Sign back in to the Core App and open the report again.
- An item that is clearly out of stock is missing. Confirm the item has a re-order (or minimum) level set; items without a level never appear.
- An item that should be in stock shows below re-order. Check the on-hand figure: it can be a stock-count error, an unposted GRV, or a transfer that has not arrived. Recount the shelf.
- The list is very long. Use the search input — the page does not expose a category or supplier filter.
- The QR Code action button only shows an alert. The button is wired to a placeholder that pops up "QR Code for sale number: {number}" instead of rendering a code. QR-code rendering is not yet implemented (finding flagged for ADO Discussion AB#5178).
